INFORMATION ABOUT PROCESSING VISITORS' PERSONAL INFORMATION Section 13, Legislative Decree 196/2003 - Privacy Code Pursuant to art. 13 of Legislative Decree 196/2003 (Code on personal data protection), we inform that the personal data that you provide, or otherwise acquired during Italian Exhibition Group S.p.A.'s activity is subject to processing, in compliance with privacy clauses and the provisions set forth by the aforementioned Code. The processing of said data, which will take place with computer, manual, paper tools (e.g. publication of photos on brochures, etc.), has the following scopes:
1. Fulfilment of contractual and legal obligations related to the participation of the concerned party as buyer, journalist, sector's operator, visitor at events organised by Italian Exhibition Group S.p.A.
2. Organisational management of the events promoted by Italian Exhibition Group S.p.A., e.g. creation of personal badges for security purposes, statistic elaborations on aggregate data, planning, notices to third partners who collaborate in the organisation and management of events (e.g. other expos, supplies, consultants, sponsors, etc.). In this case, certain data (e.g. badge with photo of the attending physical person) can be also collected through pre-registration procedures (online or forms) or through on-site photo shoots carried out by operators authorised by Exhibition Group S.p.A., before entering the expo pavilion.
3. Profiling, customer loyalty and transmission of commercial and promotional notices concerning Exhibition Group S.p.A.'s activity via email, sms, mms, telefax, phone calls, direct sale and additional marketing scopes (e.g. market analyses and surveys).
4. Profiling, distribution of commercial, promotional and advertising communications, concerning products and services from third-party partners of Italian Exhibition Group S.p.A. (organisers, exhibitors, operators involved in the exhibitions or also operating in other sectors) interested in proposing advantageous commercial offers to various participants (buyers, journalists, sector operators, visitors) in the exhibitions and shows, as well as profiling and distribution of documentation concerning certain services (booking flights, plane tickets, etc.) provided by third-party suppliers/consultants of Italian Exhibition Group , via e-mail, SMS, MMS, fax, and phone calls.
5. For this purpose, data can also be disclosed or transferred to subjects in order allow the latter to use it directly to send their commercial notices. Processing of personal data means the collection, registration, organisation, storage, elaboration, editing, selection, extraction, comparison, reclassification of data according to homogenous economic categories, use, inter-relation, block, disclosure, diffusion. The processing times will depend on the scopes pursued from time to time. Conferment of data to Italian Exhibition Group S.p.A is always optional. However conferment is required in case - as it usually takes place for buyers, journalists, sector's operators, visitors- the data to which the conferment request refers, must be processed by Italian Exhibition Group S.p.A. to punctually fulfil a legal or contractual obligation, and also to provide the services requested by the concerned party (scopes foreseen in point 1). In fact, in the event that you refuse to confer data, Italian Exhibition Group S.p.A. will not be able to provide the contractual service requested by you and/or fulfil the legal obligations derived from the stipulation of the agreement with S.V. Therefore, you will not be able to take part in the event, enter the Exhibition and use our services, etc...In respect to the processing for the scopes indicated in point 1, instead, consent is never required (since art. 24 of Legislative Decree 196/2003 relieves Italian Exhibition Group S.p.A. from such obligation). Please note that data “conferment” means to tangibly provide said information to Italian Exhibition Group S.p.A., therefore it is different from the “consent” to data processing for the scopes set out in points 2, 3 and 4. The concerned party who confers data (after reading this privacy policy) tacitly grants his/her consent only for the processing scopes indicated in point 1. Consent is optional if data is processed instead for the scopes indicated in point 2, however failure to grant consent will prevent Italian Exhibition Group S.p.A. to process data and in certain case, to execute the service requested by the concerned party. Therefore, should the concerned party intend to take part in the expo, we suggest him/her not to merely confer data but to provide the explicit consent to the processing for the scopes indicated in point 2. Consent is instead optional if data is processed for the scopes set out in points 3 and 4, and any lack of consent will not imply the non-execution of the service requested by the concerned party, however it will prevent Italian Exhibition Group S.p.A to carry out processing (e.g. use an email address or cellular number to send promotional messages and disclose data to third parties, and the latter will not be able to process data for said purposes). The data collected for the scopes indicated in point 1 can be disclosed to: companies that, on behalf of Italian Exhibition Group S.p.A., will provide the management and maintenance service of IT systems and databases, Companies that have been awarded contracts/ appointments on behalf of Italian Exhibition Group S.p.A. that render services essential to take part in the expo (e.g. installation and management of exhibit spaces and equipment, logistics, security, private surveillance, first-aid, hostess services, etc.). The potential processing of data by said subjects will take place according to similar scopes and methods as those mentioned above. Moreover, Italian Exhibition Group S.p.A. informs that during the expos or events organised by the same, authorised photographers and/or videomakers can shoot videos and/or photographs for documentation and promotional purposes, on the sites of the events and relative social profiles (e.g. twitter, facebook, whatsapp, youtube, vimeo, etc.). Published images and videos concern the exhibition activities that shall be deemed as expos or events of public character, and do not contain indications for which the explicit consent of the portrayed subject is required. Should the concerned party do not wish to be photographed or recorded, he/she must notify so to the staff, when the photograph or video is taken. Photographed or recorded subjects are anyhow entitled to request removal or deletion from the databases of the corporate website and/or connected platforms, by sending an email at privacy@iegexpo.it. In this case, Italian Exhibition Group S.p.A. will promptly remove the documental material. The data collected for the scopes indicated in points 2, 3 and 4, that could be acquired on-site by operators authorised by Italian Exhibition Group S.p.A., can be disclosed to photographers and/or videomakers who produce the materials, companies that carry out post-production on the same, journalists and newspapers, companies that carry out marketing analyses, advertising, communication and/or public relations agencies, companies that print advertising or promotional materials, production companies of websites, other subjects who conceive and/or maintain promotional materials, management and maintenance companies of IT systems used for data processing, potential third business partners with which Italian Exhibition Group S.p.A. shares the abovementioned promotional initiatives or planning of expos and events and, through catalogue, to exhibitors and/or visitors of the events organised by Italian Exhibition Group S.p.A., also in collaboration with third partners. Communication will take place according to proportionality principles, therefore limited to strictly required scopes. Said subjects will process materials and data for scopes and according to methods similar to those described above. We also inform that art. 7 of this Code acknowledges numerous rights to the concerned party, among which: obtain information about the existence of data that concerns him/her and its communication in intelligible form, obtain cancellation, transformation in anonymous form or block, updating, correction or if needed, integration and confirmation that said operations were notified to all those subjects to whom data has been disclosed, object for legitimate reasons to the processing of said data, even if related to the collection scope and object processing for marketing purposes (profiling, commercial communications, market surveys and analyses).
